Introduction to Cara Tatterton Pilates

Cara Tatterton Pilates is a fitness and general health organization, established in 2017 and is a sole trader business. The purpose of the company is to provide small-group matwork classes in local venues and 1:1 classes.


Personal Data and Privacy

In order for Cara Tatterton Pilates to fulfil its function, we process personal data which relates to participants of our classes and courses. Cara Tatterton Pilates is committed to maintaining the appropriate confidentiality, integrity and security of personal data that we process. This policy sets out the principles that we adhere to when processing personal data and outlines the operational aspects of our various data processing activities.


What Personal Data Do We collect?

We collect information about individuals in the following way:


Personal/contact information: names, gender, email address, mailing address, mobile/ telephone number, as well as specific health details directly related to Pilates participants. These details are supplied to us by participants on a pre-exercise health questionnaire that all participants must complete for our insurance purposes, prior to exercising with us. These data are held securely for as long as the participant remains with us,
We also collect name and email address through the website ‘Get in Contact’ form, ‘Free Taster Class’ form and ‘Pelvic Floor Health Course’ form.

Newsletter: our newsletters are sent to anyone who actively subscribes to receive them, by entering their email address and name in any signup boxes on our website. The mailing list of names and email addresses is maintained through an email marketing service provider. If you wish to stop receiving emails from us, you can ‘unsubscribe’ at any time by clicking on the link at the bottom of the email. If, after doing this, you still receive any emails from us please email and we will ensure that you are removed from the mailing list.
If individuals choose to supply any other information we handle this securely and treat it with appropriate confidentiality.


What do we do with your personal data?

Cara Tatterton Pilates will use the personal data provided on pre-exercise health questionnaires to give participants the most appropriate Pilates experience.

We will also use contact details supplied by participants on the pre-exercise health questionnaire to provide them with information on their specific classes and sessions. For example, if a class is to be cancelled by adverse weather conditions we will email, text, or call clients to let them know.

The information collected through the website (Name and email address) will only be used to contact you in relation to your query or question.


What is the legal basis for our data processing?

Cara Tatterton Pilates only processes personal data where it has a legal justification or requirement to do so. Therefore, Cara Tatterton Pilates processes personal data as described to give you the most appropriate Pilates experience and fulfil our obligations to the insurance companies who underwrite our activities.

Cara Tatterton Pilates would not be able to fulfil its function as a fitness and health organization safely without processing personal data as described in this policy.


Your Rights in Relation to Personal Data

Individuals whose personal data we process have certain rights in respect of those data, including:


Right to access – you have the right to request access to, or a copy of, the information that we hold about you.  On request, Cara Tatterton Pilates will provide participants with copies of their personal data in a convenient format.

Right to be forgotten and restriction of processing – you have the right to ask us to limit or cease processing or erase information we hold about you in certain circumstances. In responding to such request, Cara Tatterton Pilates will communicate to you the impact of such restrictions or deletions, for example, on Cara Tatterton Pilates’ ability to teach Pilates classes on your behalf. Please note we may need to keep some of your data to comply with legal, insurance or tax obligations.

Right of rectification – Cara Tatterton Pilates takes reasonable steps to ensure that the personal data we hold about you is accurate and up-to-date and we will comply with any requests to rectify any inaccurate data we may hold about you.

Right to object – you have the right to object to Cara Tatterton Pilates using your information on the basis of its legitimate interests and the right to ask us not to process your personal data where relevant (see “What we do with your personal data section above).

How Cara Tatterton Pilates Might Share Your Personal Data

Cara Tatterton Pilates will only share personal data with third parties in the following two ways:


Other health professionals – with your express permission Cara Tatterton Pilates will share relevant personal data with other health professionals, intended solely for your benefit.

General – in some circumstances, Cara Tatterton Pilates may need to share your personal data where necessary with other third parties (including legal or other advisors, regulatory authorities, courts and government agencies) to enable us to enforce our legal rights, or to protect the rights, property or safety of our employees or where such disclosure may be permitted or required by law.


Data Security

Electronic Data – computers and portable devices which may be used to store or access your personal data are password protected or use other appropriate protection against unauthorised access. 

Paper records – All paper pre-exercise health questionnaire forms are stored in a locked file.


How Long Does Cara Tatterton Pilates Retain Personal Data?

Cara Tatterton Pilates will only retain personal data for as long as is necessary to provide our services, or for as long as we are reasonably required to retain information for our lawful business purposes, comply with our insurance requirements or other statutory or legal requirements.  Therefore, if you stop coming to class, we will destroy or delete any data we hold about you after 7 years.


Data Breaches

In the event of any breach of Cara Tatterton Pilates systems impacting on the security of a participant or any other individual’s personal data, Cara Tatterton Pilates will inform the affected participant(s) or individual(s) at the earliest opportunity describing the nature of the breach, the possible consequences and the measures being taken to remedy the situation.
